PRIVACY NOTICE
Your shipping information
Effective September 27, 2026. ShipCove is operated by PhotonSells LLC. This notice explains how we use information to provide our shipping portal. For privacy questions or requests, email salesmanager@photonsells.com.
Information we use
We use your name, email address, sign-in identity, and shipping profile to create and manage your account. We store the sender and recipient details, package information, saved addresses, imported orders, labels, declared values, tracking numbers, and shipping preferences you provide or generate through ShipCove. Recipient details may include someone else’s name, address, and phone number; provide them only when you are authorized to arrange the shipment.
We also keep shipping-credit transactions, deposit notices, carrier invoice evidence, adjustment references, referral eligibility and reward records, support conversations, and administrative activity records. Deposit notices contain the amount, sender name, payment date, and payment reference you submit. ShipCove does not ask for payment-card numbers or bank-login credentials.
Our hosting and authentication providers process technical information such as network addresses, browser/request information, and security events. We use this information to operate the service, prevent abuse, troubleshoot failures, and protect accounts. Do not include information unrelated to shipping, such as government identification numbers or medical information, in order references or support messages.
Why we use it
We use information to authenticate you, quote and purchase labels, recover interrupted purchases, support shipments, verify deposits, reconcile carrier bills, administer eligible offers, answer support requests, and maintain financial and security records. The ShipCove administrator can access customer accounts, shipments, billing evidence, and support records to perform those tasks. Customers access their own workspaces.
For account approval and abuse review, the administrator may compare account details such as matching return addresses and phone numbers. These are review signals, not proof of identity or wrongdoing. ShipCove does not use device fingerprinting for this review.
Services that receive information
Cloudflare hosts ShipCove and its database and file storage, including account records and label files. Supabase Authentication handles supported email/password sign-in, verification, recovery, and Google sign-in. Authentication secrets are handled by the authentication service; passwords are not stored in the ShipCove shipping database. Google sign-in provides the identity details needed to authenticate you, such as your email and profile name. If an existing account uses an available ChatGPT sign-in, its sign-in provider supplies the corresponding account identity.
UPS receives the shipment and contact information needed to quote, create, track, and void labels and handle carrier issues. Resend delivers transactional email where configured, including authentication messages and support-team notifications. Support notifications link to the authenticated workspace rather than copying your support message text into the notification.
Google Places, when enabled, receives street search text and selected place identifiers when you request address suggestions by typing in the shipping form. A search can be sent before you finish entering the address. Google Places use is subject to the Google Privacy Policy. ZIP-to-city lookup sends the entered ZIP code to Zippopotam.us, which uses GeoNames data. Review all suggested information before shipping.
These providers may process information in the United States or other locations where they operate. We may also disclose relevant records to respond to lawful requests, resolve disputes, or protect the service and its users. We do not sell customer information or use it for cross-site targeted advertising. The current ShipCove site does not install advertising pixels or optional analytics cookies.
Cookies and browser storage
ShipCove uses essential sign-in and security cookies. It also uses browser storage for an opaque interrupted-purchase identifier, a temporary support link, referral attribution when you follow a referral link, and your cookie-notice preference. The recovery identifier does not contain a recipient address or label price. Read the Cookies and storage notice to see the purposes, current durations, and controls. Dismissing the notice does not consent to marketing or accept our Terms.
Referral privacy
When you open a referral link, we remember the first valid referral code in the current tab for up to 30 days of eligibility so it can be used at account creation. This tab storage normally ends when the tab closes and is removed after account creation. When you register with the code, we associate it with your account to check eligibility and prevent duplicate rewards. A referrer may see limited referral progress and reward status. Referral participation does not authorize us to give the referrer your shipment addresses, label files, support messages, or deposit evidence. See the Welcome and referral offer terms.
Access, corrections, and deletion requests
Email salesmanager@photonsells.com to request access to your information, a correction, an export, account closure, or deletion. You may also use Support in your workspace. Tell us what you need without sending passwords or banking credentials. We may verify your identity and authority before acting, including for requests about a recipient. We will explain applicable limitations and any records we need to retain.
Closing or archiving an account does not immediately erase shipping or financial records. We retain information as needed to provide the service, reconcile payments and carrier charges, address claims and disputes, prevent fraud, and meet applicable legal obligations. Retention depends on the record and its purpose; we do not promise a universal deletion period. Access to retained records remains restricted. Clearing browser storage does not delete server records.
Security and updates
We use access controls, encrypted connections, protected authentication cookies, and encryption for stored carrier/provider credentials. No system can guarantee absolute security. Keep your account credentials and invitation links private, sign out on shared devices, and contact support if you suspect unauthorized access.
We may update this notice as the service changes and will revise the effective date. Material changes will be communicated through the service or another appropriate channel. ShipCove is intended for adults arranging shipments and is not directed to children.
